We are seeking an Medical Records Clerk to join our team at our Brudnick Center for Living in Peabody, MA

Position Summary: The Medical Records Clerk will process and maintain medical records of our skilled nursing facility in a manner consistent with medical, administrative, ethical, legal, and regulatory requirements of the health care system. Process, maintain, compile, and report patient information for health requirements and standards. They are responsible for safeguarding confidentiality of patient records and will be required to perform other clerical tasks such as answering phones, faxing, copying patient check in and out and break coverage of the Reception Desk and procuring medical supplies. 


  • Initiates the medical chart, and then he/she is responsible for routing the chart to the appropriate personnel.
  • Maintains patient files and retrieves files as indicated.
  • Files patient charts; files all patient data upon receipt of information; initiates records for new patients; prepares file labels; maintains filing statistics; audits filing sequence. Responds to requests for medical records; processes letters and reports; answers and directs telephone calls.
  • Photocopies records and documents for billing and/or legal services; sends and receives information via fax machine or email.
  • Keeps supervisor informed of problems or issues; monitors supplies as needed.
  • Releases information to persons and agencies according to regulations.
  • Protects the security of medical records to ensure that confidentiality is maintained.
  • Maintains and tracks Audiology, Dental, Optometry, and Podiatry visits and residents who are due to be seen.
  • Thins out residents’ charts as necessary.
  • Maintains adequate inventory and ordering of medical supplies
  • Covers the Front Reception Desk during breaks
  • Other duties as assigned by the Director of Nursing or Executive Director


  • HS Diploma or equivalent
  • Minimum of 2 years Administrative experience
  • Working knowledge of MS Office tools: Word, Excel, Email
  • Must be able to speak, write and understand the English language

  • A true “people person” who can communicate and coordinate effectively with residents, family members, medical doctors and practitioners, transportation services and visitors.
  • Cooperative “team player” with all office colleagues, staff and managers.
  • Working knowledge of MS Office tools: Word, Excel, Email

Physical requirements:

Stand or sit for prolonged periods of time; occasionally stoop, bend, kneel, crouch, reach, and twist; to lift carry, push, and/or pull to moderate amounts of weight; operate office equipment requiring repetitive hand movement and fine coordination; travel to other locations using various modes of private and commercial transportation; and verbally communicate to exchange information.
